Adecco on behalf of ENISA, the European Union Agency for Cybersecurity and the center of expertise for cyber security in Europe, is seeking to recruit a highly driven candidate for the following position based in Athens:
Administrative assistant/Personal Assistant- Interim Agent
Key Responsibilities
- Provides high-level support to the Head of Unit and Sector Heads, assisting in the planning, coordination, and follow-up of unit activities.
- Manages and organizes complex calendars, agendas, and task priorities in alignment with management objectives.
- Handles incoming communications, including sorting and categorising mail, and manage functional mailboxes effectively.
- Coordinates and arranges travel and mission logistics.
- Maintains and monitors ENISA’s file management system, ensuring timely follow-up on unit-related actions.
- Prepares, formats, and performs quality control checks on documents in accordance with internal procedures.
- Ensures data accuracy through careful entry, validation, and updating of records in spreadsheets and databases.
- Organizes and provides logistical support for meetings, events, and conferences, including expert reimbursements and budgetary preparations.
- Offers comprehensive administrative support such as agenda setting, minute taking, document registration, and filing.
- Coordinates small-scale projects, including planning sequences, scheduling, and creating visual presentation materials.
- Supports the unit’s budget management and contribute to the preparation of financial overviews.
- Performs additional duties as required to support the operational efficiency of the unit.
Qualifications
- Ability to keep information confidential, with utmost integrity and promote a positive working environment.
- Go-get personality, results-oriented and solution driven.
- Very good organizational and prioritizing skills in a very varied workload with demanding deadlines.
- Attention to detail, to plan and to follow up work.
- Excellent communication skills, inter-personal skills and client-oriented approach.
- Proficiency in Office software tools (e. g. Outlook, Word, Excel, PowerPoint etc.)
- Fluency in English, written and oral (C1 level); knowledge of additional EU languages is an advantage.
- Professional experience in a multicultural environment or international organization would be considered an asset.
