Budget & Finance Assistant - Interim Agent
(Contract)


Key Responsibilities 

  • Assisting with the registration and administration of incoming invoices, reimbursement requests, and cost claims in the European Commission’s financial system (ABAC).
  • Supporting data entry of financial information and initiating financial transactions (e.g., commitments, payments, mission claims, recovery orders, de-commitments) related to the Agency’s operational expenditure.
  • Monitoring the financial implementation of commitments, preparing de-commitments, and ensuring timely closure of administrative commitments.
  • Tracking allocated budget lines and budget performance, including the preparation of financial statistics, reports, and visualizations.
  • Assisting in the preparation, planning, reporting, forecasting, and follow-up of budgets and other financial matters.
  • Following up on mission implementation and reporting, and proactively proposing solutions for process improvements.
  • Developing and maintaining financial databases and producing analytical financial reports and statistics.
  • Preparing and distributing financial reports and ensuring proper archiving and record-keeping.
  • Organizing and supporting project-based financial and data analytics to produce solid, accurate reporting aligned with management expectations.
  • Coordinating with project managers to ensure adherence to financial cycle deadlines.
  • Liaising with external providers on financial matters and clarifying relevant rules and procedures.
  • Assisting in the preparation, execution, and monitoring of the annual budget, including the management of financial dossiers, contracts, grants, and service-level agreements.
  • Performing any other financial data entry or administrative tasks as required.
  • Taking on additional responsibilities in the interest of efficient service delivery.


Qualifications

  • Proven experience in Budget and Finance.
  • Proficiency in Microsoft Office, particularly Excel.
  • Excellent organizational and time management skills with a keen attention to detail.
  • Strong communication and interpersonal abilities, with a customer service-oriented approach.
  • Ability to work independently, as well as part of a team, combined with the capacity to work on several projects simultaneously with tight deadlines.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Professional experience in a multicultural environment or international organisation would be considered an asset.
  • Fluency in English, both oral and written, knowledge of additional EU languages is an advantage.
